Purpose
This policy governs Staff and Faculty responsibilities when procuring or using an Emerson College Technology Asset, for the purpose of maintaining well-functioning and secure technology.
Scope
This policy is applicable to all individuals assigned Technology Assets.
Definitions
Technology assets: Any College procured1 device that includes: computers, accessories, personal & mobile devices, circulating media equipment, installed media equipment, lab equipment, software licensing, and technology infrastructure tools and equipment.
All faculty and staff must comply with all College policies and procedures, including:
Staff & Faculty Responsibilities
When planning the purchase of Technology Assets, constituent Staff & Faculty departments will partner with the Technology & Media Division to determine and review:
- Support feasibility
- Security risk
- Appropriate alignment with College needs
- Competitive pricing and budget planning (i.e., ongoing costs, escalations)
- Redundant services (i.e., if an equivalent Technology Asset already exists)
Staff & Faculty who are assigned Technology Assets must:
- Exercise due care (keep in a secure location, take all precautions to avoid damage)
- Return asset(s) upon termination or end of life of the device 2
- Report lost or stolen assets to ECPD
- Damaged Technology Assets must be returned to the Technology & Media Division for repair. No personal effort to repair damaged equipment shall be attempted by community members without authorization, including taking assets to external repair stores or
manufacturers. - Keep Emerson College inventory tags in place, and report when a Technology Asset is not tagged.
Compliance with this Policy
The CIO shall ensure compliance with this policy. Violations of this policy may result in disciplinary action, in accordance with Emerson College's Human Resources and/or student conduct policies and any additional collective bargaining agreements. Please review HR's

1 Anything purchased, rented, or leased with college funds, which includes Faculty Development funds, grants, or operational expenses.
2 It is explicitly prohibited for staff and faculty to redeploy assets to other employees (i.e., lending a laptop to another user or giving an asset to a new employee).
