Once a student has submitted their Leave or Withdrawal Request form, it will take Emerson administrative offices roughly three weeks to process. During this time, there are several offices that need to update different aspects of a student’s account:
- Student Success reviews the request form, notes the Leave or Withdrawal on the student’s account, and records the student’s last date of attendance for the Registrar. This date is reported to the federal government as part of regulations for accredited higher education institutions that receive federal funding. It is also what we use to calculate how much aid a student has earned and how much tuition they are responsible for.
- For a mid-semester leave, this step involves contacting a student’s professors and asking them to report the last day a student attended class.
- For Leaves taken between semesters, the Last Date of Attendance is the final day of classes for the previous semester.
- For example: A student taking a leave for the Spring semester would have the last day of Fall classes as their Last Date of Attendance.
- The Registrar removes students from current and future classes and reports the leave to the National Clearinghouse.
- Because the Registrar’s process removes students from their current and future courses, and because a student’s Last Date of Attendance can’t be in the future, we won’t start processing a Leave for a future semester if you are currently taking classes.
- For example: If you were notifying us of a Leave for the Spring semester but you submitted it in November, we would not process it until your Fall classes ended in December.
- Student Financial Services calculates how much aid a student has earned and adjusts their student account accordingly. Student Financial Services also determines how much tuition a student is responsible for based on how much of the semester a student has completed. This is explained in greater detail under Financial Considerations.
- Housing and Residential Education determines the cost of a student’s housing on a per-day basis until the fifth week of the semester. After that, students are responsible for their entire housing bill. The end date of a student’s housing for the semester is based on when their belongings have been moved out of their room, and their key has been returned to HRE using one of the dedicated key drops in the Little Building.
- The exception to the Week 5 rule is students taking a Health Leave of Absence. Their housing is calculated on a per-day basis, even if they take their Health Leave after the fifth week of the semester.
