Emerson Los Angeles
This policy outlines the terms and conditions for the use of space and equipment from the Emerson Los Angeles Space Reservations (ELA SR) Checkout Center. Completion of the form below acts as an acknowledgement of this policy and an agreement to abide by all stated terms and conditions.
I. Authorization
All current Emerson College community members will be granted the ability to reserve from the checkout center upon completion of this agreement.
Authorization is granted based on the patron’s policy class: Student, Staff or Faculty. Spaces not authorized may be appealed for justifiable purposes. A department sponsor (ELA Academics or Student Life) may reach out to ELA SR with the patron to request further authorization.
II. Reservation Policies
All spaces are available on a first come, first served basis and at the full discretion of ELA SR.
- All reservations must be submitted through Patron Portal at least 1 business day prior to the selected checkout time. Reservations may be made up to 30 days in advance.
- Spaces can only be reserved for a maximum of 8-hours consecutively.
- Approval of reservations outside of business hours may be subject to staff availability.
- Reservations are held only fifteen minutes past the initial reservation time. If the patron has not shown up, the reservation will be canceled by ELA SR and the space may be given to someone else. A “no show” may result in a loss of reservation privileges.
- Confirmed reservations may be subject to cancellation or relocation at any time.
III. Reservation Start and End Procedures
At the start of every reservation it is the patron’s responsibility to thoroughly inspect the space, all technology and any provided equipment. Confirming all resources reserved are present and in working order.
- Patrons should alert ELA SR if anything is missing, malfunctioning, or otherwise unusual throughout the duration of their reservation.
- All members of the Emerson College community must present their valid Emerson College ID upon request.
- Any guests (individuals not affiliated with the College) must be signed in as dictated by the ELA Guest Policy through the Main Lobby Security Desk.
Patrons must vacate the space by the specified end time of their reservation. Extensions may be granted pending space availability. All reservation extensions require advance notice.
ELA SR will review each space and any equipment to ensure there is no damage, all resources are present and in good working order. Patrons are responsible for cleanup of the space. Patrons may be notified if an issue is discovered after their reservation, typically within five business days.
IV. Space Use and Care Policies
The patron listed on the reservation assumes full responsibility for their assigned space, any loss and/or damage, and their guests. Once confirmed, the patrons name as listed in Webcheckout cannot be changed without the approval of ELA SR. The patron will serve as the main point of contact for the reservation.
- The Code of Community Standards and the Student Code of Conduct is in effect at all times. Violations of any College policies will be subject to disciplinary action through the College’s disciplinary process.
- Smoking, alcohol, drugs, and the use of candles or open flames are strictly prohibited in campus spaces.
- All means of egress must remain clear at all times so as to allow for easy exit in the event of an emergency.
- City/building fire code mandates that meeting/event attendance may not exceed a room’s noted capacity.
- Furniture may not be removed from the rooms.
- Paper or other items cannot be taped or otherwise attached to the doors, walls, or ceilings of campus spaces.
- No bikes, scooters, skateboards or rollerblades are allowed in the campus spaces.
- No live animals/pets are permitted in campus spaces.
V. ELA On-Campus Filming Policies
To ensure that the College and its students are in compliance with City of Los Angeles fire regulations and California special effects regulations - fires, candles, smoke, cookies, squibs, black powder charges, fireworks, explosive devices, or any other flame producing items are not permitted on College property.
Students are prohibited from making permanent alterations or modifications to Emerson College structures. The use of any prop, set item, special effects apparatus, or any other device of any kind that may result in damage to Emerson College property is prohibited.
Productions may not be conducted in the following areas:
- Inside the lobbies of buildings
- In front of or inside building elevators
- On stairways
- Anywhere where building egress might be blocked in any way
- Anywhere where building operation might be impaired in any way
- Faculty and administrative offices
Productions are restricted in the following areas*:
- In any corridor
- In restrooms
- Parking Garages G1, P1, P2 and P3
- Laundry Room
- 5th Floor Kitchen]
- Gym & Yoga Room
*Requests may be considered for these locations on a case-by-case basis with proper advanced notice and in coordination with the Events & IT Department.
Additionally, patrons must comply with all EMERSON COLLEGE FILMING POLICIES.
VI. Penalties
Proper use of all spaces and equipment is essential, and penalties may be drawn in certain cases of neglect or misuse. Penalties include fines, replacement/repair charges, and revocation of space and/or equipment access (permanently, in the severest cases) subject to staff discretion:
Damage Fees: When spaces and/or equipment are returned in a non-functional state, patrons may be charged for its repair or replacement. The ELA SR will work with patrons to secure a replacement if possible.
Cleaning Fee: If the space is left in an unsatisfactory condition requiring extensive cleaning by ELA staff, patrons may be assessed a $25.00 fee. In the most extreme cases, third party cleaning may be required at the student’s expense.
VII. Review and Amendments
This policy is subject to periodic review and amendments will be made as needed.
